Can a UK Company Accept Cryptocurrency Payments?

Yes. A UK company can generally agree to accept an exchange token such as Bitcoin as consideration for its own goods or services.

This guide focuses on a customer paying directly into a non-custodial wallet controlled by the UK company, instead of a custodial crypto payment processor collecting the funds.

HMRC expressly recognises that a business may accept exchange tokens for goods or services. Its guidance also distinguishes ordinary commercial acceptance from activities such as exchanging, broking or dealing in tokens.

Accepting a crypto payment does not remove the company's normal obligations under contract law, tax, VAT, sanctions, consumer law or accounting rules. The business must also make sure that its payment flow does not amount to a regulated cryptoasset or payment service.

When Is FCA Registration or Authorisation Relevant?

The FCA supervises in-scope UK cryptoasset businesses under the Money Laundering Regulations. Registration applies to businesses providing specified cryptoasset exchange or custodian-wallet services in the course of business in the UK.

The risk increases if a company:

A seller that receives payment into its own corporate wallet for its own invoice has a different business model from a custodian or exchange. The complete facts must still be checked, particularly for marketplaces and payment platforms.

The FCA states that the new UK cryptoasset regulatory regime starts on 25 October 2027. Businesses should monitor implementation rather than treating today's perimeter as permanent.

Corporation Tax and Accounting

Cryptoassets received by a company must be reflected in its accounts and Corporation Tax analysis according to the nature of the transaction and how the assets are held.

The company should preserve a pound-sterling valuation at the transaction time. If the token is later sold, exchanged or used, that later transaction may produce an additional taxable result.

Recommended records include:

HMRC maintains a dedicated Cryptoassets Manual for businesses.

VAT on Goods or Services Paid in Crypto

HMRC states that VAT is due in the normal way on goods or services sold in exchange for cryptoasset exchange tokens. The taxable value is the pound-sterling value of the tokens at the time of the transaction.

No separate VAT is normally due merely on the supply of the exchange token used to pay for those goods or services.

How to Use Invoiceum for UK Crypto Invoices

Invoiceum.com can provide the invoicing and documentation layer for a direct wallet payment.

A UK crypto invoice should contain:

  1. The company's legal name, registered address and company number.
  2. VAT details where applicable.
  3. Customer and supply information.
  4. The contractual price in GBP.
  5. The token, blockchain and receiving wallet.
  6. The exchange-rate source and quote expiry.
  7. The required confirmations.
  8. Refund and incorrect-network terms.

After receipt, connect the Invoiceum invoice to the transaction hash, GBP value, timestamp and accounting entry. This is particularly important because HMRC's VAT treatment depends on the sterling value when the transaction takes place.

Invoiceum should not be described as providing FCA registration, KYC, custody or final tax calculations unless its current product terms expressly provide those services.

Recommended UK Workflow

  1. Confirm that payment is for the company's own goods or services.
  2. Check whether any exchange, custody, transfer or third-party settlement is involved.
  3. Approve the tokens and networks the company will accept.
  4. Use a company-controlled multi-signature wallet.
  5. Complete proportionate customer, sanctions and wallet checks.
  6. Issue the invoice through Invoiceum with a GBP price.
  7. Record the GBP value at receipt and apply the correct VAT treatment.
  8. Record later token disposals separately.

Frequently Asked Questions

Does a UK company need FCA registration just to accept Bitcoin?

Not necessarily for accepting Bitcoin solely as consideration for its own supply. Registration may be required if the company provides in-scope exchange or custody services or its payment flow falls within another regulated activity.

Must a crypto invoice show GBP?

Using a GBP contractual value is strongly advisable for VAT, tax and accounting evidence. The payment instructions can also show the crypto equivalent.

Is VAT avoided when the customer pays in crypto?

No. HMRC says VAT is due in the normal way on taxable goods or services, based on the sterling value of the exchange tokens at the transaction time.

Does Invoiceum make the company an exchange or custodian?

Using an invoicing tool does not itself determine the regulatory classification. The decisive factors are who controls the funds and whether value is exchanged, held or transmitted for other people.

What should the company monitor for 2027?

Monitor the transition rules and FCA implementation of the new UK cryptoasset regime starting on 25 October 2027.
